Planning for Out-of-Town Wedding Guests in the Rochester, NY Area

Published August 21st, 2026 by Chef's Event Center

If a meaningful share of your guest list is flying into Rochester or driving several hours, your wedding is not a one day event for them. It is a weekend, and how that weekend feels is largely decided by choices you make months earlier.

Here is how to take care of out-of-town guests without turning yourself into a travel agent.

Planning a weekend wedding? Call (585) 352-3300 or contact us and we will help you map it.

Start With the Airport Reality

Most out-of-town guests will fly into Greater Rochester International Airport, which is small, easy to navigate, and about 25 minutes from our property in Spencerport. That is genuinely good news. Guests are not connecting through a hub and then driving 90 minutes into farm country.

Tell people the airport code, the approximate drive time to their hotel, and whether they need a rental car. Many will not, if their hotel and your venue are close together and rideshare is available.

Hotel Blocks, Honestly

Blocks are useful but oversold. A few practical notes:

  • Choose location over price. A hotel ten minutes from the venue beats one that saves fifteen dollars and adds a half hour drive.
  • Watch the attrition clause. Some contracts make you responsible for unbooked rooms. Ask directly.
  • Two options at two price points serves a mixed guest list better than one.
  • Release date matters. Guests book late. Know when unsold rooms go back.

Hotels cluster along the Route 531 and Route 104 corridors and out near the airport, all within a reasonable drive of Spencerport.

Getting Them To and From

If you are hosting a full bar, plan transportation. A shuttle between the hotel and the venue is one of the most appreciated things a couple can do, and it removes a worry you should not be carrying at midnight.

If a shuttle is out of budget, say so plainly on your wedding website and make sure guests know rideshare coverage in the suburbs is thinner than downtown. People plan accordingly when they are told.

Give Them Something to Do

Guests who traveled will arrive Friday and leave Sunday. Two of those days are yours to shape, or to deliberately leave open.

  • A welcome gathering Friday does not have to be a formal rehearsal dinner. It can be casual and open to anyone who made the trip.
  • A Sunday brunch is the single most common thing couples say they are glad they did.
  • A short list of local recommendations beats an itinerary. People want to know where to eat, not to be scheduled.

The Erie Canal path, the lakeshore, and the Finger Lakes wine trails are all within easy reach of Spencerport, and out-of-town guests consistently enjoy them.

The Venue Side of It

Because we host one event at a time on 10 acres, a welcome gathering or a morning-after brunch can happen on the same property, which removes a set of directions from your guests' weekend. The banquet hall and the grounds both work for a smaller, relaxed gathering, and catering is in house so the food is one phone call.

We are at 1875 North Union Street, Spencerport, NY 14559, with free on-site parking and a straightforward drive from the airport, downtown Rochester, and the western suburbs.

Put It All in One Place

Whatever you decide, publish it. A simple wedding website with the airport, the hotels, the shuttle times, the venue address, and the dress code answers ninety percent of the texts you would otherwise field the week of.
