The Rain Plan: What Happens to Your Outdoor Ceremony When Upstate Weather Turns

Published August 8th, 2026 by Chef's Event Center

You picked an outdoor ceremony because you could picture it. Then the ten day forecast appears and you spend a week refreshing a weather app. Anyone marrying outdoors in Upstate New York goes through this, and the couples who handle it well are simply the ones who decided in advance.

Here is how a rain plan actually works, and what to ask your venue before you need one.

Worried about weather? Call (585) 352-3300 or contact us and we will explain exactly what happens.

The Question to Ask Every Venue

Not "do you have a backup plan?" Every venue says yes. Ask this instead:

"If it rains, where exactly does my ceremony happen, how many guests does that space hold, what time do we have to decide, and who resets the room?"

The specifics reveal whether the plan is real. Some venues' backup is a tent you have to rent separately. Some is a room that seats 90 when your guest list is 180. Some means your reception space hosts the ceremony and your guests then stand outside in the rain while it is flipped.

How It Works Here

If the weather turns, your ceremony moves inside the banquet hall, which seats up to 325 and has three walls of windows, so it does not feel like a fallback. During cocktail hour our staff resets the room for dinner. You do not organize any of it and there is no additional structure to rent.

Because we host one event at a time, there is no competition for the indoor space. It is available to you because the entire building already is.

The Decision Point

Someone has to make the call, and it should not be you at 7am on your wedding day while you are getting ready.

Agree in advance on two things: who decides, and when. Usually that is your coordinator in consultation with you, at a set hour in the morning. Then it is settled, and you spend the day on your wedding rather than on a radar map.

"It was the most horrible weather day so far this winter. Being concerned about the safety of our guests, I contacted Jillian and Mindy two days before." - Christine Blandford

It Is Not Only Rain

Couples plan for rain and forget the rest of what Upstate New York offers.

  • Heat. A July ceremony in full sun at 2pm is genuinely hard on older guests. Shade, water beforehand, and a short ceremony all matter.
  • Cold. A gorgeous October afternoon becomes a 48 degree evening quickly once the sun drops.
  • Wind. The quiet destroyer of florals, programs, veils, and outdoor audio. Ask about it.
  • Ground conditions. Two days of rain before a dry wedding day still leaves soft ground and unhappy shoes.

Small Things That Help

  • A basket of white umbrellas near the entrance. They photograph beautifully and cost very little.
  • Blankets or pashminas for a late-season evening ceremony.
  • Water station before a summer ceremony, not after.
  • A note on your website about terrain, so guests choose footwear sensibly.

The Reframe Worth Hearing

Photographers will tell you this and they are right: rainy weddings often produce the best images. Soft light, umbrellas, covered spaces, and a wedding party that stops worrying about being perfect. The gazebo, the gardens, and the window light in the hall all still work. See the grounds.

What ruins a rainy wedding is not the rain. It is discovering at 9am that nobody had a real plan. Have one, and then let the day be what it is.
